Fast Replies on Messenger: Saved Answers and FAQs for Your Business
Answer the same questions faster with a greeting, saved replies and a short FAQ, without sounding like a robot.
How much is it? Are you open today? Do you deliver to Saburtalo? Can I book for Saturday? If you run a local business, you probably answer the same ten questions in Messenger every week, often late in the evening, often while doing something else.
Slow replies cost customers: people who message several places usually go with whoever answers first. The fix is not to sit on your phone all day. It is to prepare good answers once and reuse them. Here is how.
Write down your top ten questions
Open your inbox and scroll back through the last month. Write down every question that appears more than twice. For most businesses, the list looks similar:
- Prices and the menu or price list.
- Opening hours, especially on holidays.
- Address, how to find you, parking.
- Delivery: areas, cost, timing.
- Booking a table, appointment or room.
- Payment methods: card, cash, bank transfer.
- Availability of a specific product or size.
This list is the foundation for everything else. It also tells you what to add to your Page info and posts, so fewer people need to ask.
Set up a greeting message
Facebook lets Pages show an automatic greeting when someone opens a chat, and an instant reply when they send their first message. The exact settings move around, so look for automated responses or similar in Meta Business Suite or your Page settings.
A good instant reply does three things: thanks the person, says when they will get a real answer and gives the most useful information right away.
Hello and thank you for writing to Café Lavash. We usually reply within an hour between 9:00 and 21:00. Our menu and prices are in the pinned post, and we are open every day at 12 Chavchavadze Ave.
Write it in the language most of your customers use. If you get many tourists, add a short second line in English or Russian.
Create saved replies for repeat questions
Saved replies are short templates you can insert into a conversation with a couple of taps. Create one for each question on your list. Keep them:
- Short. Two to four sentences.
- Complete. Include the price, the address or the link, so the customer does not need to ask again.
- Ending with a next step. Shall I book you for 19:00? Would you like us to deliver today?
Delivery: we deliver across Vake, Vera and Saburtalo from 11:00 to 21:00. Delivery is 5 GEL, free for orders over 50 GEL. Usually it takes 40-60 minutes. What would you like to order?
Before sending, add the person's name or a small personal detail. One extra word makes a template feel like a real conversation.
Add FAQ-style conversation starters
Depending on your Page setup, Facebook may let you show a few suggested questions when someone opens a chat, with an automatic answer for each. If this option is available to you, use your three most common questions, for example prices, hours and booking. If it is not, a pinned post with the same information does a similar job.
Keep humans in the loop
Automation should save you time, not replace you. Some rules to follow:
- Never let an automatic reply pretend to be a person if it is not.
- Reply personally to complaints, special requests and anything about health, money or legal matters. For clinics and pharmacies, avoid giving medical advice in chat; invite the person to call or visit.
- Check messages at fixed times, for example at 10:00, 14:00 and 19:00, instead of constantly.
- If several people answer messages, agree on the tone and keep the same templates.
Use the inbox for both platforms
If your Facebook Page and Instagram account are connected, you can usually answer messages from both in one inbox in Meta Business Suite, and reuse the same saved replies. This alone saves a lot of switching between apps. If you have not linked them yet, see how to connect Facebook and Instagram.
Reduce questions with better posts
The best reply is the one you do not need to write. If people keep asking about prices, publish prices. If they ask about parking, post a photo of where to park. Regular posts with clear details answer questions before they are asked. Keeping the Page updated is exactly what a service like SocialAI helps with, so your inbox stays manageable.
Start this week
- List your ten most common questions from last month's messages.
- Write a greeting and an instant reply with your hours and key information.
- Create saved replies for at least five of those questions.
- Pin a post with prices, hours and address on your Page.
- Set three fixed times a day to check and answer messages.
