How to set up an Instagram business profile properly

A step-by-step checklist for local businesses: account type, name, photo, contacts and the first posts that make a new visitor trust you.

Many owners open an Instagram account on a personal phone, post a few photos and wonder why nobody calls. Usually the problem is not the content. It is that the profile itself does not answer the basic questions a new visitor has in the first few seconds: what is this, where is it, and how do I contact them?

This guide walks you through a proper setup, step by step. Plan about an hour, and you will have a profile that works for you even on days you do not post.

Step 1: Use a professional account, not a personal one

Instagram lets you switch a regular account to a professional (business or creator) account in the settings. For a café, salon, shop or clinic, choose the business option. It is free and gives you things a personal account does not have:

  • Contact buttons, so people can call, message or get directions with one tap.
  • A category label under your name, such as Bakery or Beauty Salon.
  • Insights: basic statistics on who sees your posts and what they do.
  • The option to run ads later, if you decide to.

If you already have a personal account full of family photos, it is usually better to create a new account for the business than to convert the old one.

Step 2: Choose a name and username people can find

There are two fields that matter. The username (the @handle) should be short, easy to spell and ideally the same as on Facebook. Avoid random numbers and double underscores. The name field is what appears in bold and is searchable, so use it wisely: your business name plus a keyword and the city works well.

For example, a bakery in Kutaisi could use the username @nino.bakery and the name Nino Bakery | Kutaisi. Someone searching for a bakery in Kutaisi now has a better chance of finding it.

Step 3: Profile photo that works at a tiny size

Your profile photo is shown as a small circle in comments, stories and search. A detailed shop interior becomes a blurry blob. Use a clean logo on a plain background, or, for a personal brand such as a hairdresser or a dentist, a bright, friendly face photo. Check how it looks at thumbnail size on your phone before you save it.

Step 4: Fill in contacts, address and the link

This is where most local businesses lose customers. Fill in every field that applies:

  • Phone number that someone actually answers during working hours.
  • Address, so a map appears and tourists can navigate to you.
  • Email, if you take bookings or orders by email.
  • Link: your website, a booking page, a menu or a WhatsApp chat link.

Then write a short bio. We have a separate guide on writing an Instagram bio that brings customers, but the short version: say what you do, where, and what to do next.

Step 5: Publish a starter set before you promote

Before you tell anyone about the account, publish the posts a curious visitor expects to see. An empty profile looks closed. A simple starter set:

  1. Who you are: the owner or team, with a short story.
  2. Your best product or service, photographed well.
  3. Prices or a menu, even a simple one.
  4. Where you are: the entrance, the street, how to find you.
  5. A customer moment or behind-the-scenes shot.
  6. Opening hours and how to book or order.

Good photos matter here. If your phone shots look flat, our free AI product photo tool can turn them into clean studio-style images.

Step 6: Connect Facebook and set up highlights

Linking your Instagram to your Facebook page lets you manage messages in one place and makes cross-posting easier. After that, create a few story highlights for menu, prices, reviews and location. They act as a permanent information section at the top of your profile.

Start this week

Here is the checklist in short:

  • Switch to a business account and pick the right category.
  • Set a clear username and a name with a keyword and city.
  • Upload a logo or face photo that reads well at small size.
  • Fill in phone, address, link and bio.
  • Publish six starter posts, then start posting regularly.

Once the profile is ready, the hard part is consistency. If you do not have time to post every week, a service like SocialAI can prepare and publish posts for you on a schedule, and you approve them in advance.
